Terms and Conditions of Service
Effective Date: July 2025
Business Name: Domain Forge
Legal Entity: Sole Trader (United Kingdom)
1. Overview
These Terms govern the services provided by Domain Forge (“we”, “us”, “our”) to any client or user (“you”, “your”). By engaging our services, you agree to be bound by these Terms.
2. Services
Domain Forge provides secure configuration and setup services for email, domain registration, DNS management, and Microsoft 365 mailboxes. Services are typically one-off in nature but may include ongoing or retainer-based arrangements as separately agreed.
3. Payment Terms
- Payment may be made via bank transfer or Stripe (when available).
- We may require a £50 deposit prior to commencement of work, with the remaining balance due on completion.
- Invoices must be paid within 7 calendar days unless otherwise agreed.
- We reserve the right to suspend or withhold delivery of services in the event of non-payment.
4. Refunds
- If you are dissatisfied with the service, please notify us in writing within 14 days of completion.
- Refunds are considered at our discretion, taking into account the work completed.
- No refund will be given for services reasonably and competently delivered unless agreed in writing.
5. Data Access & Credential Handling
- We may require temporary access to your systems (e.g. registrar, Microsoft 365, DNS dashboard) to deliver services.
- All login credentials must be provided via Bitwarden Send, or other secure means as agreed.
- Credentials are stored temporarily in a secure 1Password vault and deleted upon project completion and final payment.
- You may request deletion of stored data at any time by email. However, doing so will be considered termination of services and does not remove the requirement to pay for any completed work.
- Clients must not send credentials via email, SMS, or other insecure methods. We are not responsible for any data loss or breaches resulting from insecure credential transmission.
- The client is responsible for backing up their systems and data before any work is undertaken. We do not accept liability for system outages or data loss resulting from changes made during the course of the engagement.
6. Use of Subprocessors
We may rely on third-party service providers to deliver aspects of our services. These may include:
- Tally.so (forms)
- Cloudflare (DNS and infrastructure)
- Microsoft 365 (email services)
- Stripe (payment processing)
All processors are expected to meet industry standards for data protection and confidentiality.
7. Liability
- We will deliver services using reasonable care, attention, and skill.
- However, we do not guarantee outcomes such as email deliverability, uptime, or compatibility with third-party systems.
- Our total liability for any claim arising out of our services shall be limited to the total fees paid for the specific project.
- We are not liable for any indirect, incidental, or consequential damages (including business interruption or loss of data).
8. Disclaimer
- Our services do not constitute legal, financial, or regulated advice.
- Clients are responsible for ensuring their own compliance with laws, regulations, and third-party terms.
- You should seek independent professional advice where appropriate.
9. Termination
- Either party may terminate the engagement with written notice.
- On termination, any services delivered to date are chargeable in full.
- We reserve the right to withhold delivery of digital assets or documentation until outstanding payments are settled.
10. Governing Law
These Terms are governed by and interpreted in accordance with the laws of England and Wales.
These Terms may be updated from time to time. The latest version will always be available upon request or at domainforge.co.uk.
